This Privacy Policy explains how Meeting Notes Assistant ("we", "our", or "the Service") collects, processes, and protects your information when you use our browser extension and associated web dashboard platform.
1. Information We Collect and Process
To provide meeting transcription and summarization services, we process the following categories of user data:
- Personal Communications (Audio Streams): The browser extension captures tab audio (Google Meet or Zoom calls) and microphone audio, which is streamed in real-time to our servers to generate transcripts.
- Website Content (Sounds): The extension accesses the audio output of selected call tabs using browser capture APIs.
- Authentication Details: We store secure login tokens locally on your browser (`chrome.storage.local`) to authenticate the extension's connection to your account dashboard.
2. How Your Data is Used
We use your information solely to deliver the core features of the Service:
- To transcribe and generate summaries and action items from your meetings.
- To link meetings with your Google Calendar events (if connected by you).
- To manage your account sessions and verify authorized access.
3. Third-Party Service Providers (Subprocessors)
We work with trusted third-party infrastructure and AI service providers to process and analyze data:
- Speech-to-Text and AI Analysis: Meeting audio and text transcripts are securely transmitted to third-party artificial intelligence and speech-to-text API providers to generate transcriptions and summary notes.
- Google Calendar Integration: If you connect Google Calendar, we retrieve event details (e.g. titles and times) to match schedule slots. Our use and transfer of any information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. Data Storage, Security, and Retention
Your recorded audio files, transcripts, and summaries are securely stored in our cloud-hosted database. We implement standard industry security practices to protect your data from unauthorized access.
User Control: You retain full ownership of your data. You can delete any recording, transcript, or your entire account directly from the settings panel at any time, which permanently removes all associated files and database records from our active servers.
5. Privacy Certifications
To comply with Google Chrome Web Store Developer policies, we certify that:
- We do not sell, rent, or transfer user data to third parties.
- We do not use or transfer user data for purposes unrelated to the Service's core functionality (recording and organizing meeting notes).
- We do not use user data to determine creditworthiness or for lending purposes.
6. User Responsibilities and Consent
If you use the Service to record meetings or conversations that involve other individuals, you are solely responsible for obtaining any necessary consents and complying with all applicable local, state, federal, or international laws regarding the recording of oral or electronic communications. We assume no responsibility or liability for unauthorized or non-consensual recordings.
7. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date.
